Job Title: Special Education Management Systems (SEMS) Clerk
Reports To: Executive Director for Special Populations

Primary Purpose:
Assist in the operation of the special populations department by providing efficient record keeping, data input, and other clerical services that are specific to the ARD process. Compliance with all federal, state, and local policy is required.
Qualifications: Education/Certification
High School Diploma or GED
Two (2) years of clerical or office experience, preferred
Experience in educational setting, preferred
Computer skills required
Special Knowledge/Skills:
Ability to use laptop and/or desktop computer
Ability to prepare, edit, print, and curate documents in paperless/digital system
Proficient word processing, keyboarding, database management, and file maintenance
Ability to maintain confidentiality
Basic understanding of Special Education, preferred
Ability to meet established timelines
Strong organizational, communication, and interpersonal skills; including telephone and written communication
Bilingual Preferred (Speaking, Listening, Writing)
Major Responsibilities and Duties:
- Sets up, maintains and records all special education student information under the direction of the assessment specialist/Admission, Review, and Dismissal (ARD) staff
- Maintain current special education eligibility folders and/or student database for each ARD, parent correspondence, or Full Individual Evaluation (FIE) is reviewed
- Gathers information from all ARD Committee meetings, proofs for completion of all parts
- Enters data into the special education management system and indicates if students are a referral, transfer, active or inactive under the direction of the District SEMS clerk
- Completes requests for student data to be transferred to another campus or district and works with District SEMS clerk and campus PEIMS clerks for completion by assisting with the transfer of records to other schools, districts, agencies upon request
- Runs, maintains current rosters and reports as may be requested in order to aid program management
- Notifies appropriate staff of missing or late special education records, reports, etc.
- Assists with verification and updates to PEIMS records and reporting
- Runs PEIMS reports and compares to the special education management system reports to ensure accuracy of data in both systems
- Assist with checking in and out materials and equipment when arriving on campus and disseminating the material/equipment to the appropriate staff member and maintains records of what the campus has received and/or distributed
- Attends district meetings and professional development sessions to keep abreast of changes in current special education, local, state, and federal reporting requirements
- Demonstrates dependability and punctuality by exercising regular attendance and promptness
- Maintains professional ethics and ability to interface positively with students, parents and staff members
- Maintains confidentiality of student information and records
- Performs all duties as assigned by the supervising staff person and/or administrator

Tools/Equipment: Standard office equipment including personal computer and peripherals (printer, copier, scanner, fax, shredder, etc.)
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, twisting
Motion: Repetitive hand motions, frequent keyboarding and use of mouse
Lifting: Occasional light lifting and carrying (under 15 pounds)
Mental Demands: Reading, ability to perform basic arithmetic; prolonged use of the computer; work with frequent interruptions; maintain emotional control under stress
Funded by federal funds, with the primary purpose of supporting grant activities aimed at meeting the requirements for the identification and review process of students with disabilities.
I agree to perform these major responsibilities and duties and understand that this paraprofessional position is funded with federal funds designated for the 2022-2023 school year. This position is reviewed annually based on funding available.
